*General Functions* Operating under the supervision of the Maintenance Manager, this position supports the needs of the Maintenance Crew by procuring building materials, appliances, tools, paint, and other items as directed.
Additional duties include processing invoices in a timely manner, inventory control, and maintaining clear and concise communication with leadership, vendors, and CIHA maintenance personnel.
*Major Activities (Typical Duties/Responsibilities)* * Purchase, source, order, and ensure on-time delivery of materials, appliances, tools, paint, and other items as directed.
* Manage inventory levels, including monitoring and reordering essential supplies and materials.
* Develop and maintain relationships with vendors and suppliers to secure favorable prices, quality, and delivery timelines.
* Collaborate with the maintenance team members to guarantee prompt delivery of building materials, appliances, paint, and other supplies, as required.
* Maintain accurate documentation, including processing and recording purchase orders, invoices, receipts, and inventory records.
* Maintain administrative responsibility for record-keeping, including tracking vendor and contractor information, bids, work orders, purchase orders, and weekly timesheet reports.
* Develop comprehensive material lists for projects or work orders as needed, ensuring compliance with CIHA procurement policies.
* Ensure safe and secure transportation of loads, adhering to safety regulations and operational procedures.
* Negotiate with suppliers to secure advantageous bulk purchase discounts.
· Engage in physical labor tasks, including loading, unloading, lifting, and transporting various building materials, furniture, equipment, tools, paint, and other items as directed.
* Possess and apply working knowledge of computers and software (e.
g.
, Excel, Word, Outlook), printers, smartphones, and hands-free communication devices.
· * Utilize lifting devices as required by OSHA standards for the safe handling and transport of heavy items and materials.
* Routinely lift and move objects weighing up to 50 pounds as part of regular job duties.
* Operate company vehicles in a professional and safe manner, adhering to all traffic laws and company policies.
* Responsible for maintaining the security of equipment, appliances, tools, materials, and supplies, both in transit and during storage at the CIHA warehouse.
* Use Personal Protective Equipment (PPE) as required by safety regulations and CIHA policies.
* Perform additional duties as assigned.
*Skills and Abilities* * Highly skilled in identifying a wide range of materials associated with building maintenance, ensuring the accurate and efficient procurement of necessary supplies.
* Must possess excellent organizational skills, with the ability to stage and monitor several orders from multiple maintenance staff in a fast-paced environment, ensure prompt delivery and stocking of materials to their properties.
* Ability to lift, pull, push, carry and sort through heavy materials up to 50 pounds.
* Must possess exceptional verbal and written communication skills to ensure accuracy of orders and their prompt delivery.
Ability to perform basic math.
* Knowledge of the standard practices, processes, tools, and materials involved in all areas of light residential construction.
* Knowledge of the occupational hazards and safety precautions of building electrical or mechanical trades.
* Ability to keep records and reports relating to inventory of equipment and material.
* Must have ability to be self-directed and work alone and/or in a crew environment, when needed.
* Demonstrated ability to effectively engage with the public, ensuring positive interactions.
* Knowledge of the use and care of tools and equipment employed in the building, electrical, plumbing, painting, masonry, and mechanical trades.
* Ability to work with a diverse population with heavy emphasis on customer service skills.
*Education and Experience* * College graduate holding a degree in Business Administration or a related field in building management and maintenance, with the option to substitute relevant experience on a year-for-year basis.
* Five years’ experience in property maintenance related field Accredited Trade School or Union Apprenticeship preferred.
* Current Alaska Driver’s License.
* Reliable and insured personal vehicle.
